We’re hiring! Join our team as a Project Coordinator

The CCA is looking for a project coordinator to join our team of diverse professionals committed to supporting evidence-informed policy and decision-making in Canada.

Reporting directly to one or more Project Directors as a member of one or more project teams, the Project Coordinator will plan and coordinate expert panel meetings, and support the Project Director with: the development of assessment plans, timelines, and budgets; establishment of expert panels; compilation of relevant background material; and the coordination of report development, review and final production.

Key Responsibilities

Event Management

  • Manage logistics for all assessment-related meetings and briefings including: contract negotiation, venue and AV booking, travel and accommodation, catering and group dinners.
  • Advise the Project Director(s) in the selection of suitable locations for meetings and briefings, including providing location cost breakdown and analysis, if required.

Project Support and Coordination

  • Support the execution of assessment work and records management as per the CCA established policy and procedures.
  • Lead the preparation of appropriate reports and required documentation for assessment-related meetings.
  • Provide support to the Project Director(s) in recruiting panels, managing assessment timelines and budgets, and achieving team goals.

Report Production and Dissemination

  • Support the compilation of draft and final reports, including fact checking, reference identification and formatting, and basic document editing.
  • Actively participate in the report proofing process throughout the publication phase.
  • Lead report distribution process including developing and maintaining accurate contact information for recipients for reports and managing the dissemination of hard copy reports.


Experience and Knowledge

  • Experience in event planning and logistics;
  • Knowledge of and experience in conducting academic research;
  • Familiarity with managing information from various sources (administrative files, web-based information, etc.);
  • Knowledge of time management and office procedures including business correspondence and records management;
  • Knowledge of MS Office (Word, Excel, PowerPoint, Excel) and related software;
  • Knowledge of one or more areas of science (broadly defined) and of the Canadian science policy community would be an asset; and
  • Bilingualism (English / French) would be considered an asset.


  • Excellent sense of organization and attention to detail;
  • Ability to provide solid support for project management and report production;
  • Solid capacity for working within various teams simultaneously, completing a variety of projects within planned timeframes;
  • Strong interpersonal skills, including the ability to interact on a professional basis with senior professionals;
  • Strong oral and written communication skills; and
  • Ability to work with minimal supervision.

Special Conditions

  • Under normal (i.e., post-pandemic) conditions – travel requirements are variable and may require up to two overnight trips per quarter within Canada.
  • Flexible work schedule – occasional periods of high-intensity and extended workdays may be required to meet deadlines.
